How To Write an AUP

Tim CoatesAn AUP, otherwise known as an Acceptable Use Policy, is an important document for schools to have.  It is in this document that the general approach and philosophy to appropriate technology use in a school is set forth.

There are several items of information that need to be included in this document.  The document needs to have within it a description statement of what a particular institution deems as the appropriate use of technology.  In the document, don’t describe technology usage in negative terms, ie. the don’ts or what is not allowed, rather focus on what is the appropriate usage in that institution, specifying within that the general principals of use.  Don’t get too specific , intent is more important than specifics.  Technology changes too quickly, making the document difficult to enforce if it has too much detail.  Use supporting documents, such as Frequently Asked Questions, Tech Policies and Procedures, Email Policies and Procedures, Laptop Policies and Procedures, to cover the specifics, not the AUP.

Within the AUP include the institutions stance on the purpose of the network and Internet.  Explain why the services are provided, focusing  on the positive outcomes.  Have as part of the AUP a Privacy statement.  Students need to understand that their email and files are not private. Make the students responsible for their actions, and ensure that the document includes respect of other’s property, both electronic and physical. Place within the AUP an explanation of Copyright laws.

Finally, have an attorney review the document.  If written well, your AUP will serve the school for a number of years.  Make sure that there is an annual review of all tech policies and procedure documents with students.   Be prepared, students will always ask the “what if” questions.  These are great opportunities for class discussions.  Utilize these kind of discussion opportunities  to ask students what should be done in various situations.
